Privacy notice
This notice explains what Jebel Jais Club collects, why, who sees it and how long we keep it. It follows the UAE Personal Data Protection Law (Federal Decree-Law 45 of 2021).
Last updated 24 Oct 2026.
Who we are
- Jebel Jais Club is run by Project Hospitality Solutions FZ LLE ("PH", "we"). PH is the controller of the personal data collected on jebeljais.club.
- To contact us about your data, use the contact form and pick the topic "Privacy".
What we collect
- Registration details: name, email, mobile, emirate and age band, and for group members, including minors, their name and age.
- Your choices: sessions, pace group or role, club, car details if you nominate a car, and your consents.
- Waivers, with the time, method and, when signed on a phone, the signature.
- Check-ins, Passport stamps with your approximate location at the time of stamping, reward use and the Explorer badge.
- People's Choice votes and, if you turn them on, push notification subscriptions.
- Club registrations: the club, the lead's contact details and the logo.
- Messages you send through the contact form.
- Analytics, only if you accept analytics cookies.
Why we use it
- To run events and check-in, and for safety on the day.
- To run the Basecamp Passport, the club table and rewards.
- To send the emails you asked for: confirmations, reminders, your pass, and news if you opted in.
- To report counts to the event host. Reports are anonymised unless you agreed otherwise (see Sharing).
Sharing
- The event host, ADNOC Distribution, receives the VIP and invite list, prize winners (name, day and prize) and counts only.
- Your name and contact details go to the event host only if you tick the separate box that asks for it.
- Your club lead sees your name and sessions only if you agreed to it.
- Our email delivery and hosting providers process data for us. Data stays on our server.
- Google Analytics receives usage data only if you accept analytics cookies.
- We share nothing else, with anyone.
How long we keep it
- Event records: until the end-of-season report (31 Mar 2027) plus 12 months, so until 31 Mar 2028, then anonymised. Counts are kept.
- Signed waivers: until 31 Mar 2028, or longer if our insurer requires it.
- News sign-ups: until you unsubscribe. Sign-ups never confirmed are deleted after 30 days.
- Our admin audit log: 24 months.
Your rights
- Every email we send has a privacy link. It lets you see your data, download it, and delete it.
- Deleting removes your personal details and keeps anonymised counts. A signed waiver is kept until its retention date and then deleted.
- You can withdraw any consent at any time, unsubscribe from news in one click, and contact us about anything else.
Cookies
- Strictly necessary cookies: your language choice, your cookie choice, your Passport on this phone, and a session cookie for forms. These need no consent.
- Analytics cookies (Google Analytics): only after you press Accept on the cookie bar. Decline keeps them off. "Cookie settings" in the footer lets you change your mind.
- Analytics never run on personal pages: your pass, waiver, roster, voting, check-in and the big screen.
Security
The site uses HTTPS only. Personal pages use long random links and are hidden from search engines. Admin access uses one-time codes. Uploads are checked and stored outside the public folder.
